# How to organize important documents so you can find them

Group important documents by what you use them for, give each group one home, and name digital copies so you can recognize them later. Keep required paper originals separately, record where they are, and test that you can retrieve the right version before you need it.

## Start with the documents you actually look for

Choose a small set: your current insurance policy, a rental agreement, an identity document and a receipt you may need again. Gather their paper originals and the copies scattered across email, downloads, Photos and other apps.

For each one, decide three things: where the original belongs, where you will keep a working copy, and what name would help you find it. A digital copy is useful for checking details or preparing a submission. Keep an original or certified copy when an issuer or recipient requires it.

## Give every document one obvious home

Start with a few broad groups. Use the same labels on paper folders and digital folders when that helps you remember them.

| Group | Examples | A useful name for a copy |
|---|---|---|
| Identity | Passport, license, certificates | Passport - current |
| Home | Rental agreement, property paperwork | Rental agreement - 2026 |
| Health | Insurance card, vaccination record | Health insurance - current |
| Money | Statements, tax paperwork | Annual statement - 2025 |
| Purchases | Receipts, warranty documents | Washing machine - receipt - 2026-10-12 |

These are starting points, not a required filing system. Add a group when you repeatedly need it. If one document could fit two places, choose the place you would look first and use a descriptive name rather than making several uncontrolled copies.

The [Library of Congress recommends descriptive names and an understandable folder structure](https://digitalpreservation.gov/personalarchiving/records.html) for personal digital records. Keep a simple note of where your important originals live, too.

Dokus puts the personal document copies you reach for in named folders on your iPhone, with Face ID and offline access. 4.8 out of 5 stars [Free on the App Store](https://apps.apple.com/us/app/dokus-private-id-wallet/id6781915709)

## Put the digital copies in order on iPhone

The Files app is enough to start. [Apple's folder instructions](https://support.apple.com/en-mide/guide/iphone/iphab82e0798/27/ios/27) cover creating folders, moving files, renaming them and marking folders as favorites:

1. Open Files and choose a location where you can create folders.
2. Tap More, then New Folder. Give it a recognizable name, such as "Home documents."
3. Touch and hold a document, choose Rename, and replace an unclear name with the document type and a useful date or description.
4. Touch and hold it again, choose Move, and put it in the right folder. For several files, use More, Select, then Move.
5. Touch and hold a frequently used folder and choose Favorite. Find it later under Browse.

If a document exists only on paper, [scan the pages into one PDF](https://dokus.app/scan-multiple-pages-into-one-pdf/). If you already photographed it, [crop and straighten that document photo](https://dokus.app/scan-documents-from-photos/). A receipt you need for a purchase belongs with the [receipts you keep for reference](https://dokus.app/how-to-scan-receipts/), rather than among unrelated photos.

## Keep everyday copies together in Dokus

For documents you often open or send from your phone, a document wallet can keep the same grouping close at hand:

1. Add a scan or import a copy from Photos, Files or another app into Dokus.
2. Give the document a name you will recognize without opening it.
3. Open the add menu, choose New Folder, name it, select its documents and tap Create.
4. Open the folder and check every page of the documents you added.
5. Record any expiry dates you need to keep track of. If you want advance notifications, enable reminders and allow notifications with Dokus Plus.

New installations can keep five documents free, with folders, local offline access and optional sync through their own iCloud account. Dokus Plus removes the document limit and adds expiry reminders. Organizing family paperwork on your phone does not create a shared family account or give someone else access to your wallet.

If you are replacing a discontinued scanner, the [Microsoft Lens alternatives guide](https://dokus.app/microsoft-lens-alternative-iphone/) compares where a new scan can live. For the protection of the copies themselves, see [safe document storage](https://dokus.app/safe-document-storage/).

## Check retrieval before tidying away the loose copies

Close the file or app, then find a document again by the folder and name you chose. Open the full copy, read its details and check that the pages are complete. Do the same for a document you use less often, so your system works beyond the first few files.

Keep a separate recovery copy of important records and check periodically that it opens. Personal iCloud sync is convenient, but a second device using the same synced wallet is not a separate archive of earlier versions.

The [CDC's paperwork checklist](https://www.cdc.gov/prepare-your-health/take-action/paperwork.html) includes identification, insurance and health records among useful emergency documents. Decide how you would reach essential information if your phone were unavailable; a locked phone should not be your only plan.

## Keep the system usable

When a document changes, save the new version under a clear name and decide whether you still need the older one. Review old copies before deleting anything. Retention requirements depend on the document and the authority or organization involved; there is no single disposal rule for all personal paperwork.

- Each important document has an obvious folder or paper location.
- Names distinguish current copies from older versions.
- Every saved copy opens and includes all required pages.
- Required originals are kept, with their location recorded.
- Recovery does not depend on one phone alone.

## Common questions

### What is the easiest way to organize important documents?

Start with a few documents you often need. Group them by purpose, give them clear names, and choose one place for each original and working copy. Test finding a document again before expanding the system to the rest of your paperwork.

### Should I organize documents by person or by category?

Use the structure you would naturally check first. Categories such as Home, Health and Purchases work well for household paperwork. A person's name can be clearer when you manage several similar identity documents. Avoid creating so many groups that filing becomes another task.

### Can I use my iPhone without downloading another app?

Yes. Files lets you create folders, rename and move documents, and mark folders as favorites. A document wallet adds its own place for copies you frequently open or send. Choose based on how you retrieve and use the documents.

### Can I discard an original after scanning it?

Do not assume a scan replaces an original or certified copy. Keep the original whenever the issuer, recipient or applicable requirements call for it. Check document-specific instructions before discarding paperwork.

### Are document folders free in Dokus?

Yes. New installations can keep five documents free, with folders, offline access and optional personal iCloud sync. Dokus Plus adds unlimited documents and expiry reminders. Adding an expiry date itself is free.
