# Travel documents checklist: keep your trip paperwork ready offline

For an international trip, check the entry document, visa or travel authorization and supporting evidence required for your citizenship, destination and transit stops. Keep issued tickets, hotel confirmations, insurance details and reference copies together on your phone, test offline access, and carry the required originals.

A hotel confirmation buried in an email is less useful without a data connection. Prepare the files before leaving: your first night's address, the next ticket and the number to call for assistance.

This guide uses US travel resources. Requirements depend on citizenship and circumstances, so US residents traveling on another country's passport may need different documents.

## What belongs in your travel document folder?

| Category | Useful files to keep | Check before departure |
|---|---|---|
| Identity | Legible reference copy of your travel document | Required original and destination-specific validity rules |
| Entry permission | Issued visa or authorization and its instructions | Approval status, passport details and conditions |
| Transportation | Issued tickets, booking details and boarding instructions | Traveler, route, date and accepted ticket format |
| Accommodation | Confirmation showing guest, dates, address and contact | Current booking and arrival arrangements |
| Insurance | Policy, certificate and assistance contact | Covered travelers, dates, destinations and policy instructions |
| Personal requirements | Applicable health certificates, prescriptions or child travel documents | Official requirements for your circumstances |

Treat this as a filing checklist. Check the [State Department's international travel checklist](https://travel.state.gov/en/international-travel/planning/checklist.html) and your destination's official entry guidance for the documents your trip requires. Include transit stops in that review.

Keep your trip's document copies, tickets and reservations together in Dokus, ready to find on your iPhone without internet. 4.7 out of 5 stars [Free on the App Store](https://apps.apple.com/us/app/dokus-private-id-wallet/id6781915709)

## Build one folder you can use at the airport or hotel

1. **Save a document, then create a folder.** Import your hotel confirmation into Dokus. Create a folder such as "November trip: Lisbon" and move the document into it.
2. **Add your other files.** Import issued tickets and insurance documents into the folder. A bookmarked page can still need internet or a login. Retain the issuer's original files in their original channel too.
3. **Scan paper reference documents clearly.** Check every edge, page and number. See [scanning an ID on iPhone](/scan-id-on-iphone/) and carry originals when required.
4. **Name files for their purpose.** Use "Hotel: first night" or "Insurance: assistance". Identify each traveler without including full passport numbers in filenames.
5. **Review the contents.** Check every page, name and date. Save updated confirmations and distinguish the old versions so you do not show a canceled reservation.

New Dokus installations hold five documents for free, with folders, offline access and optional personal iCloud sync included. Dokus Plus adds unlimited documents and expiration reminders: record a date, enable reminders and allow notifications. A reminder does not check destination entry rules.

## Separate booking evidence from permission to travel

A receipt, ticket and boarding pass serve different purposes. Check what the carrier requires: an app, a printout or a ticket collected at the station. Preserve barcodes as issued; editing a file does not create a valid boarding credential.

A visa application receipt is different from an approval. Review the result and its instructions. Check destination-specific passport validity rules; an unexpired passport may not be sufficient.

For travel with children, check the documents needed for that child's citizenship and accompanying adults. The [State Department checklist](https://travel.state.gov/en/international-travel/planning/checklist.html) flags possible custody or parental consent documentation and directs travelers to destination-specific requirements.

For insurance, keep the assistance number next to the policy details and read the instructions for seeking care or making a claim. The [State Department's insurance guidance](https://travel.state.gov/en/international-travel/planning/guidance/insurance.html) recommends checking coverage for your destinations, activities and trip length, and whether a 24-hour helpline is available. Saving a policy does not confirm coverage for a particular expense.

## Test your travel documents in airplane mode

Switch on airplane mode and turn Wi-Fi off. Open your Dokus trip folder and the files you need on arrival. Read the hotel's address, check every ticket page and find the insurance contact without following an external link.

For a document behind a login, follow the issuer's instructions for an offline version where available. Reconnect after testing and check for updates. Saved files do not automatically update a gate, departure time or reservation.

Use the carrier's app or supported wallet pass when required. Dokus organizes saved files; it does not issue passports, approve visas or provide live boarding-pass updates.

## Make a plan for a missing phone

The trip folder should not be your only way to find essential information. Keep a small printed set separate from your originals, or arrange secure access to selected copies through someone you trust. The [State Department recommends keeping copies separate from originals and leaving a set with a trusted person](https://travel.state.gov/en/international-travel/planning/checklist.html).

Write down accommodation, insurance and consular contacts outside the phone. Include only essential fallback information and protect it appropriately.

Set up optional iCloud sync before departure and check the files on another compatible device. Access depends on that device and your Apple Account; do not assume a borrowed computer will recover the folder. See the [document storage safety guide](/safe-document-storage/).

For a US passport lost abroad, contact the nearest US embassy or consulate and follow the [State Department's replacement instructions](https://travel.state.gov/en/international-travel/help-abroad/lost-stolen-passport.html). A scan can support the process, but cannot replace the travel document. See [lost US documents](/replace-lost-documents/) for other issuers.

## Final check before you leave

- Requirements were checked for every traveler, destination and transit stop.
- Required original documents are packed and accessible.
- Tickets and accommodation files match the current itinerary.
- Every saved document opens and remains readable with all network connections off.
- Assistance contacts and a fallback copy are available outside the phone.
- Other adults know how to access their own documents if the group separates.

## Common questions

### What documents do I need for international travel?

Check the entry document, visa or authorization and supporting evidence required for your citizenship, destination, transit stops and purpose of travel. Keep issued tickets, accommodation confirmations and insurance details available too. A general checklist cannot determine every traveler's requirements.

### Can I travel internationally with a scan of my passport?

No. A reference copy does not replace the official travel document required to board or cross a border. It can help you look up your details and support a replacement process if the original is lost.

### Do I need to print all my travel documents?

Check the presentation requirements of each authority, carrier and accommodation provider. Some accept digital files, while others require an original, printed document or official app. Keep an independent fallback for essential details if your phone becomes unavailable.

### Does Dokus work offline while traveling?

Yes. Documents stored on your device can be opened without internet. Import and review the files before leaving, then test in airplane mode with Wi-Fi off. External links and the issuer's online services can still need a connection.

### Does Dokus update my boarding pass when my flight changes?

No. Dokus keeps the files you store available for reference. Check the carrier's official channels for current boarding information and use its app or supported wallet pass when required.
