How to scan receipts and keep them easy to find
Scan a receipt with a document scanner, check that the store, date, items and total are readable, then save it with a name you can recognize later. On iPhone, Files can scan a receipt directly into a folder. Dokus adds protected storage and folders for the copies you want to keep together.
The useful receipt scan is the one you can read and find months later. Capture the whole receipt, check it at full size and give the copy a name before putting the paper away.
Scan a receipt on iPhone with Files
The iPhone's built-in scanner can save a receipt without an extra app. Use Apple's Files scanning steps:
- Open Files, tap More, then Scan Documents.
- Put the receipt in view and capture it. Adjust the corners if part of it is missing.
- Tap Done, choose a folder and save.
- Open the result and inspect the store name, purchase date, items and final total.
For example, name a copy `2026-11-03 Camera store - lens receipt`. Use the actual purchase date, which may be different from the day you scan it.
Make the first capture count
| Problem | What to try |
|---|---|
| The edges curl up | Flatten the receipt gently on a clear surface before scanning. |
| Glare hides some text | Change the light or camera angle and check the preview. |
| The text is too small to read | Move closer while keeping the receipt inside the frame. |
| The receipt is too long for one clear capture | Capture it in sections, with enough overlap to show their order, and save the sections together. |
| A photo already exists | Crop and straighten the document photo before deciding whether you need another capture. |
Keep any back that holds information you will need, such as an order reference or return instructions. If part of the text is already missing, take the clearest copy you can and ask the seller for another receipt if necessary. A scanner cannot recover purchase details that are no longer visible.
For a receipt saved in several sections, follow the multipage scanning guide. Check that the store and total remain identifiable across the complete file.
Give receipt copies a simple home
Choose a system you can keep using. A Receipts folder with the purchase date and store in each name is enough to start. Add a product name when it will help distinguish similar purchases, such as two receipts from the same electronics store.
Keep each purchase separate so you can send the relevant receipt without sending a month's shopping history. Group related documents when useful: a purchase receipt, a delivery confirmation and a warranty document can live in the same folder.
This is a way to organize copies. If you need automatic expense categories, extracted totals, tax calculations or accounting exports, choose software that explicitly provides those functions.
Keep your receipts in Dokus
Open Dokus's add options and scan the receipt with the camera, or import a photo or PDF you already have. Give it a recognizable name, then put it in a Receipts folder or with the other documents for that purchase. Separate purchases should remain separate documents, even if you capture them in one session.
Dokus stores the copies locally behind Face ID or Touch ID, so you can open them without a connection. Sync through your own iCloud is optional. When you need to send a copy, open the document and use Share; PDF and JPG conversion and compression are available in the share editor.
The free tier holds five documents for new installations. Dokus Plus lifts that limit. Dokus organizes the receipt files themselves; it does not turn them into a spending ledger or calculate the amounts for you.
Keep the paper until you know what is required
A readable copy is useful when asking a seller about a purchase. Whether it is accepted for a return, reimbursement, warranty claim or another purpose depends on the recipient's rules. Check those rules before discarding the original, and keep any associated digital receipt or order confirmation too.
Avoid sending more of a receipt than necessary. Review addresses, loyalty details and other personal information before sharing. If the recipient accepts changes, Dokus can hide selected areas on the copy you send while leaving your stored document unchanged.
Before putting the receipt away
- Read the store name, purchase date, items and total in the saved copy.
- Check that a long receipt has no missing section.
- Use a useful name and save it where you keep related documents.
- Open the file once from that location to make sure you can retrieve it.
- Keep the original while its acceptance or retention requirements are uncertain.
Start with the receipts you would have trouble replacing. Keep them together in Dokus so a future request for proof of purchase starts with a file you can find.
Common questions
Can I scan receipts on iPhone without downloading an app?
Yes. Open Files, tap More and choose Scan Documents. Capture the receipt, finish the scan and save it to a folder. Check the saved copy for readability before putting the paper away.
Should I keep receipts as photos or PDFs?
Keep the format that your recipient accepts. A clear image can be enough for a single short receipt. A PDF is convenient when a receipt has several pages or sections. Changing the format does not improve text that was unreadable in the capture.
Can I throw away the paper receipt after scanning it?
Check the rules for the return, reimbursement, warranty or other purpose first. A personal scan does not automatically replace an original receipt wherever one is required.
Does Dokus read receipt totals or track spending?
No. Dokus keeps receipt copies as documents that you can name, organize, open and share. It does not automatically extract their totals, create an expense ledger or prepare accounting reports.
How do I scan a very long receipt?
Try one capture and inspect the smallest text. If it is not readable, scan the receipt in sections with a little overlap, keep the sections in order and save them as one document. Check that nothing is missing between sections.
