How to scan receipts and keep them organised on iPhone

A receipt scanner app should first give you a readable copy that you can find again. On iPhone, Files can scan a till receipt into a folder, while Dokus keeps named copies behind Face ID; choose dedicated expense software if you also need automatic totals or accounting exports.

A receipt scan is useful when the shop, purchase date, items and total are readable months later. Decide whether you need to keep the receipt itself or also extract figures for an expenses system: those are different jobs.

Choose what you need from a receipt scanner

Your taskA suitable starting point
Save a readable receipt without another appThe document scanner in Files or Notes.
Keep purchase documents together behind Face IDDokus, with clear names and folders.
Read totals, categorise spending or export accountsSoftware that explicitly offers those functions.
Earn cashback or shopping rewardsThe relevant promotion's app and its own eligibility rules.

Dokus stores and organises receipt documents. It does not calculate spending, create accounting reports or pay rewards for scans.

Scan a till receipt in Files

Use Apple's built-in document scanner:

  1. Open Files, tap More, then Scan Documents.
  2. Flatten the receipt on a clear surface and capture it, keeping all the print in view.
  3. Adjust the corners if needed, tap Done and save it in your chosen folder.
  4. Open the file and read the shop name, purchase date, items and final total.
  5. Rename the copy, for example `2026-11-03 - Electrical shop - washing machine receipt`.

Use the purchase date rather than the day you happen to scan it. Keep an emailed receipt or order confirmation as well when it belongs to the same purchase.

Make the image readable before putting the paper away

ProblemWhat to try
Curled paperFlatten it gently and check that no print disappears at the edges.
Glare across the receiptMove the light or change the camera angle slightly.
Tiny textMove closer while keeping the necessary content in frame.
A very long receiptCapture overlapping sections and keep them in order in one document.
An existing photoCrop and straighten the document photo, then check whether another capture is needed.

Keep a back that contains a reference or return information you will need. If the print has already faded beyond recognition, the scanner cannot recreate it; ask the shop for another proof of purchase if possible.

For several sections, follow the multipage scanning guide. Check that no item or part of the total is missing between captures.

Keep each purchase easy to find

A Receipts folder and names containing the purchase date, shop and product are enough to start. Keep separate purchases in separate documents, so sharing one receipt does not expose a month's shopping history. A receipt, order confirmation and warranty for the same purchase can sit together in one folder.

In Dokus, scan from the add menu or import a photo or PDF. Give the document a useful name, then place it in the folder for that purchase. Saved documents are available offline, protected by Face ID or Touch ID. Sync through your own iCloud is optional.

New installations can keep five documents free. Shared copies on the free tier carry a Dokus banner below their content; Dokus Plus lifts the document limit and lets you switch that banner off. When you need to send a copy, use Share and choose the accepted PDF or JPG format; compression is available in the share editor.

Keep the evidence the recipient needs

GOV.UK says proof of purchase can include a receipt or other evidence, such as a bank statement or packaging. A receipt is useful, but it is not the only possible evidence. Check the relevant return, warranty or reimbursement requirements rather than assuming that a personal scan always replaces the original.

Keep associated digital receipts in their original form. Before sharing, review addresses, loyalty details and any other personal information. Hide areas only when the recipient accepts that change and the necessary purchase information remains intact.

  • The saved receipt shows the shop, date, items and total clearly.
  • A long receipt has no missing section.
  • The name identifies the purchase without opening several files.
  • The copy opens from the folder where you expect to find it.
  • Originals and related evidence remain available while needed.

Start with the receipts you would struggle to replace. Keep the checked copies in Dokus so a future purchase query begins with a file you can find.

Common questions

Can I scan receipts on iPhone without a receipt app?

Yes. Open Files, tap More and choose Scan Documents. Capture the receipt, finish and save it to a folder. Open the saved copy to check the details before putting the paper away.

Does a receipt scanner app automatically track expenses?

Not necessarily. Some apps only save document images; others read figures and export accounting data. Dokus keeps copies that you can name, organise, open and share, without calculating your spending.

Can I throw away a paper receipt after scanning it?

Check the requirements for the return, warranty, reimbursement or other purpose first. Keep the original while its acceptance or retention requirements are uncertain, together with any associated digital receipt or order confirmation.

How do I scan a receipt that is too long for one picture?

Try one capture and inspect the smallest text. If it is unreadable, capture sections with a little overlap and save them together in order. Check that the complete receipt, including its total, is present.

My documents used to be all scattered through my gallery, I managed to organize them all. I personally like the watermark feature… I used it a lot while traveling, it makes sharing IDs much safer… it stamps a copy with the name of the company you are sharing with (say, an AirBnb or a car rental). It’s still a bit rough around the edges but it’s a new app and the dev seems to be working on it. Price is alright given it’s a one time payment.. one less subscription!
