Scan and organise receipts on iPhone

A receipt scanner app should give you a copy you can read and find again: check the shop, date, items and total, then save it with a useful name. Notes on iPhone can capture the paper; Dokus keeps reusable receipt copies together behind Face ID, while an expense app is needed for automatic bookkeeping.

A receipt scanning app can mean a simple camera-to-PDF tool or an expense system that reads amounts. Decide which you need before adding a collection of bills. A clear file for a warranty query is a different result from an accounting entry.

Start with one readable receipt

You can try the scanner already on your iPhone. In Notes, open a note and choose Attachment, then Scan Documents. Capture the complete receipt, adjust the corners and finish. Apple India's guide explains the built-in scanning options.

Open the result and read the shop name, purchase date, items and total. Use the date printed on the bill when naming it, for example `2026-11-03 Electronics shop - headphones`. Keep related warranty papers separately identifiable.

Fix the capture before filing it

ProblemWhat to try
Receipt curls at the edgesFlatten it gently without damaging the paper.
Glare hides writingChange the light or angle, then inspect the result.
Small text is unreadableMove closer while keeping the full receipt in frame.
Receipt is too long for one clear pictureCapture overlapping sections in order and save them together.
A photo already existsCrop and straighten that picture before deciding to recapture it.

Include the reverse if it contains information you may need, such as a reference or return instructions. For several sections, follow the multipage scanning guide. Check that the shop and total can still be identified across the full document.

If text is already missing, a scanner cannot recreate the purchase details. Keep the clearest available copy and ask the seller for another receipt or invoice where possible.

Give every purchase an identifiable home

A Receipts folder with the purchase date and shop in each name is enough to start. Add a product name when several bills would otherwise look the same. Keep purchases separate so you can share one without revealing a month's shopping.

In Dokus, scan the bill or import an existing photo or PDF, check it, give it a useful name and choose a folder. A receipt, order confirmation and warranty document can sit together while remaining distinct documents.

Documents stored on your device open offline behind Face ID or Touch ID. Synchronisation through your own iCloud is optional. When a copy is needed, use Share and choose the recipient's format; conversion and compression are available in the share editor.

New free installations hold five documents. Dokus Plus removes that limit. Free shared copies carry a Dokus banner below the content; Plus lets you switch it off.

Keep the original until the requirement is clear

A scan can help retrieve purchase information, but acceptance for a return, warranty, employer reimbursement or another purpose depends on the recipient. Check the actual requirement before discarding paper. Preserve digital receipts and original invoices too.

Before sharing, inspect addresses, loyalty details and other personal information. Hide unnecessary areas only if the recipient accepts an altered copy. After using PDF compression, check that the items and total remain readable.

Keep the receipts you may need again in Dokus, beginning with the purchases that would be difficult to document later.

Common questions

Can I scan receipts on iPhone without downloading an app?

Yes. The iPhone's built-in document scanner can capture receipts. Check the saved result for readability before putting the paper away.

Is Dokus an expense tracker or GST accounting app?

No. Dokus stores receipt copies as documents you can name, organise, open and share. It does not extract totals, calculate tax or produce accounting reports.

Should a receipt be a photo or a PDF?

Use the format the recipient accepts. A clear image may suit one short receipt; PDF is convenient for several pages or sections. Changing the format does not repair unreadable text.

Can I discard the paper once it is scanned?

Check the requirements for its intended use first. A personal scan does not automatically replace an original receipt for every return, claim or reimbursement.

How do I scan a very long bill?

If one picture makes the text too small, capture the receipt in sections with a little overlap. Keep them in order as one document and check for missing content between sections.

My documents used to be all scattered through my gallery, I managed to organize them all. I personally like the watermark feature… I used it a lot while traveling, it makes sharing IDs much safer… it stamps a copy with the name of the company you are sharing with (say, an AirBnb or a car rental). It’s still a bit rough around the edges but it’s a new app and the dev seems to be working on it. Price is alright given it’s a one time payment.. one less subscription!
