Malta conduct certificate: request it and prepare for collection
Request a Malta certificate of conduct through the official Kondotti service or the Conducts and Criminal Records Office. If someone else will collect it, use the official authorisation form and prepare the applicant's document copy and the collector's valid original identification.
Before requesting a certificate, read the instructions from the organisation asking for it. Confirm that it wants a certificate from Malta, how recent it must be and whether it needs the original or accepts an uploaded copy. Those requirements belong to the receiving application, rather than a universal checklist for every certificate.
Choose the request and collection route
The current government service page identifies the official options:
| Your plan | What to prepare |
|---|---|
| Request online | Follow the linked Kondotti electronic form |
| Attend personally | Take valid identification and follow the Office's instructions |
| Authorise someone else | Use the official signed authorisation form and required identity documents |
| Maltese applicant living abroad | Check the passport-copy and overseas authorisation branch |
Start from this service page or the official Kondotti website, rather than a lookalike domain or an old saved application link. Check the current fee and delivery instructions in the official service before payment.
If you apply online
Keep the request record you receive after submitting. Check the holder's details and contact information before the final step, and distinguish the submission acknowledgement from the issued certificate.
The Kondotti page explains that delivery depends on the address and whether the Office issues Form A or Form B. For a local address, it describes postal delivery for Form A and a further delivery-consent step for Form B. Follow the instructions given for your application rather than assuming every submission follows the same handover.
This guide covers getting and organising the document. It does not determine what a certificate will contain or interpret an entry. Direct questions about the official record to the Conducts and Criminal Records Office.
If someone else will collect
Use the Department of Justice authorisation instructions and download the current form from the official link. The local route requires the completed authorisation, a copy of the applicant's identification and valid identification for the authorised collector.
The official authorisation form asks for the identities of both people, the applicant's registered address and contact details, signature and date. It says the signature must match the identity document presented. It also distinguishes a copy of the applicant's document from the collector's original valid identity document.
Prepare those two sets deliberately. Sending the collector a picture of your document does not mean they can leave their own original at home. Check that both sides or required pages are readable and that the authorisation names the person who will actually attend.
For Maltese applicants abroad, the current service page lists a copy of the applicant's valid passport. The Department's overseas instructions specify the biometric page and the opposite page with the authorisation form. Read that branch before sending the documents, and ask the Office if your circumstances differ.
Check delivery and what arrives
Use the location and contact information in the current service or application instructions before visiting. Older internet guides can retain a previous office address. If a third party is involved, send them the confirmed instructions as well as the authorisation.
When the certificate arrives, check the holder's particulars, issue date and completeness. Keep the issued document separate from payment records and correspondence. If the recipient requires a recent certificate, compare the actual issue date with its requirement rather than assuming a saved copy remains suitable indefinitely.
Before sharing the certificate
- The recipient requested a certificate from Malta.
- Its date and submission-format requirements have been checked.
- Any collection authorisation is complete and signed.
- Applicant copies and the collector's original identification are ready.
- The issued certificate is distinct from the request acknowledgement.
- A scan includes every required page and leaves verification details intact.
You can keep a reference copy in Dokus alongside the request record. Preserve the original paper document and any issuer-supplied digital file unchanged, including signatures or verification codes. Dokus stores personal copies; it does not request, issue or certify the conduct certificate and does not guarantee a recipient will accept a scan.
Malta conduct certificate questions
Can someone else collect my certificate?
The official service provides an authorisation route. Follow its signed-form and identification requirements for both the applicant and the person collecting.
Is the online acknowledgement the certificate?
No. It records the request. Keep it separate from the certificate issued by the Office and follow any additional delivery instructions.
How long is a stored certificate acceptable?
Check the receiving organisation's requirement for how recently it must have been issued. Keeping a copy does not extend its suitability for a later application.
